FAQ: Transcripts

Ordering transcripts online is easier than ever. Log into SF State Gateway to receive an official transcript the same day with our eTranscript option.

 

If unable to login directly through PARCHMENTS ordering portal (available only to users who have not used Gateway before), then the only other online way to get official transcripts is through SF State Gateway.  

  1. Log into SF State Gateway
  2. Click on Academics (left side)
  3. Look under the Official Transcript Request header
  4. Click the "Request Transcript" button.

Transcript Requests submitted by mail or in person must be  made with the Transcript Request Form

If submitting form by MAIL, include:

  1. Valid government issued photo ID
  2. Check made out to San Francisco State University
  • All financial obligations must be paid before transcripts can be issued. 
  • Official Transcripts are not available for first-time students until after completion of their first semester at SF State.

If submitting form IN PERSON, include: 

  1. Valid photo ID, either government issued or a SFSU ID.
  2. If picking up order only two transcripts can be printed per request, if more are needed they will be mailed.
  3. Only check or moneyorder will be accepted by our Bursar's Office. 
  • All financial obligations must be paid before the University can issue transcripts. 
  • Official Transcripts are not available for first-time students until after completion of their first semester at SF State.
 

If submitting form in person via a 3rd PARTY, include:

  1. Written & Signed authorization from the requesting student.
  2. Valid government issued photo ID from BOTH the third party and requesting student.
  3. Check made out to San Francisco State University
  • All financial obligations must be paid before the University can issue transcripts. 
  • Official Transcripts are not available for first-time students until after completion of their first semester at SF State.

If you attended Spring 1985 or before then you must mail or submit in person the Transcript Request Form to the Registrar's Office.  If exact dates of attendance are not known then please use the SF ID lookup application HERE to verify if an online record is available. 

Mail in instructions

  1. Valid government issued photo ID
  2. Check made out to San Francisco State University
  3. Transcripts are processed within 7 - 10 business days upon receipt of request.
  • Faxed or emailed requests are not accepted. Rush or Overnight delivery options are not available.

In Person instructions

  1. Valid photo ID, either government issued or a SFSU ID.

Students admitted after Spring 1985 can access their unofficial transcripts through the Student Center.  The browser's pop-up blocker must be disabled to view, click here to find out how to disable pop-ups.

  1. Log into SF State Gateway
  2. Click the Academics link
  3. Click the "Student Center" button

  1. When in the Student Center, locate the "other academic..." drop down menu.
  2. Select "Transcript: View Unofficial" and click the double arrow button.

  1. Under Report Type select SF State Unofficial Transcript and click the "View Report" button.
  2. The unofficial transcript will open in a new window.
  • If a browser’s pop-up blocker was not disabled and the report did not open, simply select “View All Requested Reports” after the pop-up blocker is disabled

  1. Log into SF State Gateway
  2. Click the Academics menu link
    • Click the Access Student Center button.
  3. Locate the other academic... drop down menu
    • Select Enrollment Verification

  1. When asked to select processing options, select:
    • Allow to Print from My Browser from the first drop-down box.
    • Mark the check boxes for the academic information that should be included in the report.
    • Select the term that should be included in the report, or leave blank for all terms.
  2. Click the SUBMIT button to generate the Enrollment Verification.

  1. To print the results, click PRINTER FRIENDLY VERSION and print or save to a file.

The Registrar's Office will stamp and seal the form for free upon request by the student. The official stamp and seal will not be available until after the drop deadline of the current semester.

Employer & Third Party Request

Verification requests for current enrollment, date of attendance, or degrees are processed by the National Student Clearinghouse.  To get started, use the below contact options.

Notary Requests

This letter is notarized by the Registrar's Office, payment must be received so the letter can be produced. Checks or money order only, and they must be made out to SFSU.  Requests requiring official verification will be notarized at a cost of $10.00 per letter. Use the Notary Request form to make this request.

The Registrar's office does not provide an Apostille or Certification from the California Secretary of State; but, we do provide the needed material for SF State students and Alumni to obtain this service.  Please use the Notary Request form for further instruction and visit the California Secretary of State's site to find out how to get an Apostille or Certification, www.sos.ca.gov/notary/authentication.
